Costume College 2025 Marketplace

Vendor Application Information

Deadline to submit has been extended to February 10, 2025.

Costume College offers vendors an opportunity to be selected to display and sell their wares in the Marketplace. The selection is juried by the Costume College Committee. Past participation does NOT guarantee inclusion in the Costume College 2025 Marketplace.

If you wish to be considered for inclusion in the 2025 Marketplace, please complete the on-line application and submit with all required paperwork no later than February 10, 2025. You do NOT need to be a member of Costumer's Guild West to submit this application.

The Costume College Marketplace Vendor Application will be available on Costumer’s Guild West’s website or by clicking on the image below beginning December 19, 2024. You will need to log into your CGW account/profile to access the form.  If you do not have a CGW account/profile you will need to create a guest account. Creating a guest account does not make you a CGW member – or require you to pay for membership.

  • Current California Seller's Permit OR Temporary Seller's Permit (see CDTFA Temporary Seller's) OR California Department of Tax & Fee Administration Special Events Certification Form (form CDTFA-410-D REV. 9 (3-23)) if not required to hold a California Seller’s Permit ( see CDTFA Publication 107 ) 
  • Certificate of Liability Insurance
  • Pictures of Merchandise (minimum of 2 images, max of 5 images)

Vendors will be notified of acceptance to the Marketplace via email on or about February 25, 2025.

Booth Space Fees (Maximum of two spaces per vendor).

Vendors accepted to the Marketplace will be emailed an invoice for Booth Space Fees. Payment of booth space fees is due within seven (7) days of notification that their application has been accepted.

  • One space APPROX 6’ x 9’ - $175
  • Two spaces APPROX 6’’ x 18’ - $350

Booth space fees do NOT include rental of tables. You are welcome to bring your own or you may rent up to four (4) tables from us at $20 per table. (Table rental price is for the duration of the event.)

Terms and Conditions:
Marketplace Operating Hours (subject to change):

  • Friday, August 1st, 11am to 3pm (Early Bird Shoppers’ Event. Admission is by ticket only benefitting the Costume College Scholarship Fund.)
  • Friday, August 1st, 6pm to 9pm (Grand Opening)
  • Saturday, August 2nd, 8:30am to 5pm
  • Sunday, August 3rd,  8:30am to 5pm

Vendor ID badges with the business name must be worn at all times in the Marketplace.

  • Each Booth Space will receive two (2) Vendor ID badges. If you have two booth Spaces you will received four (4) Vendor ID badges.
  • Additional badges may be requested for $5.00 each, payable upon pick-up at Marketplace check in.
  • Vendor badges do not include admittance to Costume College classes (lectures or workshops), Friday Night Social, Gala, or Tea.
  • Full payment for booth space, insurance (if applicable), and table rentals will be payable upon acceptance of application. An invoice will be emailed to you. Vendor selection will take place by February 18, 2025 with notification to vendors by February 25, 2025. If you are not selected for the 2025 Marketplace, no payment will be collected. 
INSURANCE: The Sheraton Gateway Hotel Los Angeles requires that ALL vendors carry $100,000 liability insurance.
  • May be purchased from the Costumer’s Guild West for $50.00 (amount will be invoiced with Booth Space Fee
  • or provide a copy of your policy (valid through all dates of the event) with this application, to include the following: ADDITIONAL INSURED: Sheraton Gateway Hotel Los Angeles, 6101 W Century Blvd, Los Angeles, CA 90045.

Rental space is a defined booth space only. All merchandise and displays must be located within your booth perimeter to conform to Public Safety and Fire Regulations. If any items are found outside of your defined space, you will be required to rearrange your display to meet this requirement. No exceptions.

Vendor set-up will be available starting at 3pm on Thursday, July 31, 2025.

Vendor pack-out will begin at approximately 5pm Sunday, August 3, 2025 after close of Marketplace.

  • Pack-out must be completed by 8:00 p.m. Your Marketplace pack-out will not be complete until your booth space has been cleaned of all refuse and trash and left in the same condition as at Set-up.
  • All table covers and skirts shall be left on the table at the event's conclusion.
  • Lost or damaged table covers and skirts shall be charged to the Vendor at a rate of $25 each.
  • A $50.00 Cleaning Fee will be billed if all trash is not removed and space is not left in the same condition you received it in.

Hotel Reservations: Hotel room reservations must be made by the vendor directly through the Sheraton Gateway Los Angeles Hotel. The Costume College discounted room rate is based on occupancy. Please see the Hotel Reservation page for room rate information. The link to reserve a hotel room will be sent to vendors in March 2025.

Costume College will comply with all local and state laws governing public safety, fire, and earthquake standards and in particular the Los Angeles Fire Marshall’s standards for conventions and public access.

  • No Marketplace table display can rise more than 7 feet (84 inches) from the floor. All displays on the table must be self-supporting and reasonably resistant to tipping or collapse if accidentally jostled.
  • No display materials of any kind can be posted on the walls.
  • No pets or other animals will be allowed in the Marketplace AT ANY TIME (only ADA-recognized service animals will be permitted). Any vendor not complying with these rules (which also govern the layout of the space) can and will be asked to leave.

Should the Vendor notify Costume College, in writing, of their intention to withdraw from the Marketplace AT LEAST 15 days prior to Costume College, all fees shall be returned less a $25 per space administrative fee. Should such written notice occur less than 15 days prior to Costume College, all fees shall be forfeited.
